WE NEED YOUR HELP!!!  As we build our schedule for our 2012 holiday weekends, we'd LOVE for you, the families who will actually be here, to assist us in scheduling programs, crafts, classes, hikes, games, Bible studies, worships and more.  Please consider helping, and send us your suggestions and offerings to: campbetheloffice@gmail.com (Barry).

Performances/Concerts:  All weekend guests AND the wider Botetourt-Roanoke-and-Virlina community is invited to our fun at the Gym (Saturday) and concert at Hillside Auditorium (Sunday).  Free-will offerings will be requested. 

·   Saturday, May 26, 6:45pm: Country Barn Dance in the Gym, led by New River Bound  & The Luv Buzzards and professionally called by Dance Caller, Scott Sarver.  FREE to weekend resident campers/families.  Open to the public for $5/person or $15/family maximum.  (Viewing & listening seats available for non-dancers.)

·   Sunday, May 27, 7:30pm Gospel Bluegrass Concert: The Love Buzzards:  Funny name; Classic Sounds!  Greg Honeycutt on guitar; Caleb McCallister on fiddle; Ted McCallister on mandolin; Debbie McCallister on bass; Lee Dunbar on banjo form this band of friends and family.

Deer Field Gym will be closed 4:00-9:30pm Saturday for Dance.  Otherwise, Deer Field Gym is open all weekend for basketball, volleyball & games.  Please return balls to bin, remove trash and turn off lights & fan and close doors when not in use Parents: Please supervise children in the gym!  The bathrooms and gym facilities have been damaged and left extremely messy at past events by unsupervised children.

 

Announcements:

1.     Parents: Please supervise children in the gym and at all times around camp.  Bike helmets required; please, no night biking without lights.

2.     Deer Field Gym is open all weekend for games.  Return balls to bin, remove trash and turn off lights and close doors when not in use.

3.     Caution: Keep fires controlled; watch for snakes (do NOT kill black snakes or brown water snakes); wear bear bells when hiking in remote areas; we recommend insect repellant (and sky-or-white-colored clothing, plus long pants tucked into socks) to deter ticks which are especially bad in Virginia and the eastern USA this year.

ADDITIONAL (and much repeated) INFORMATION:

 

Payment:

For meals, lodging or camping, plan to “settle” with staff in the camp office at one of the following times:

5-6pm Friday   or   10-11am Saturday   or   4-5pm Sunday   or   10:30-11:30am Monday.

Please complete the enclosed payment form and present it at your time of payment.  Please pay by check, credit card (+3% surcharge) or with exact change as we do not keep cash in the office.  If you cannot make payment at one of these times, we will bill you via post mail.  You may also pay in advance if you wish.  Include payment for meals, lodging, and camping in your total payment.  Pay for ice at the time you get it (after meals in the Ark, $2 per bag.)

 

To reserve your spot for future holiday weekends:  Because of the growing popularity of our holiday family weekends, you MUST complete a RESERVATION FORM for each upcoming holiday weekend and pay the minimum deposit to reserve your lodging.

 

What to Bring:

Bring some extra cash or your check book for CDs at our concerts AND to donate toward a free-will offering at each concert to offset performer expenses for Camp Bethel.

When You Arrive:

Go ahead and move in and begin enjoying your weekend.  From now on RV campers are required to call ahead to reserve specific sites (see RV camping information for specific sites).  RV campers may set up anywhere, but please respect public access areas (stay clear of shelters, roads and bathhouses) and share hook-ups when camping off of established sites.  Tent campers should not pitch tents on an RV site.  As a tent camper, you may pitch your tent wherever you like and however remotely you wish.  Please park on paved surfaces only, if possible.  Also, please limit vehicular traffic through camp to ensure the safety of pedestrians and families on bicycles.  Camp speed limit is 5 mph.

 

Suggestions for RV’s & Tents:

Obviously, we have a limited amount of RV sites and full hook-ups.  From now on RV campers are required to call ahead to reserve specific sites (see RV camping information for specific sites).  Please consider camping near the camp entrance with electric and water hook-ups.  Please do not park RVs around the Cave Trail Picnic Shelter; use the field above.  If you have not reserved an RV site please consider parking the RV and walking around camp to scout out available electrical plugs (check light poles and buildings for outdoor plugs).  If possible, avoid running an extension cord from an indoor plug through a window.  Please use dual spigots to share water spouts.

Tent campers may pitch anywhere, but please avoid public access areas.  Try our new acreage behind and beyond the Craft Cabin.

 

While You’re Here & Before You Leave:

In a continuing effort to reduce our energy costs, please turn off lights & fans when not in use and don’t over-light buildings or areas, don’t overheat rooms, and be sure water is not running.  Quiet hours are 9:00pm through 8:00am.  Upon departure, turn off heat, lights, fans, and please take your trash to the dumpsters beside the Retreat Center.  Any cleaning you can do in your cabin/lodge saves Camp Bethel time and money.  Please try to be as self-sufficient as possible during your stay; most of you know where on camp to find the things you need.  Thank you for helping us by helping yourselves.

 

Meeting Your Needs:

Please try to be as self-sufficient as possible during your stay.  Most cabins & lodges have closets with extra paper supplies and cleaning supplies.  Extra toilet paper and paper towels are in closets or the Ark Staff room if needed.  Thank you for helping us by helping yourselves.  If you have questions or needs please feel free to contact one of the on-site staff.  It is helpful to us if cabin/cottage/lodge users make a written list of the supplies and repairs you find each facility may need.

Sunday Pot-Luck Dinner:

Please attend Sunday at 5:30pm at the Shelter-by-the-Spring.  Bring a food item for four persons.  Camp will provide drinks, ice, cups, plates, utensils, serving utensils, paper products.  Stay through the evening for a free concert.

 

Safety and Supervision of Children:

Please check on your children often.  We require use of bike helmets for young riders.  Equip children with flashlights after hours.  Please, no biking after dark.  Please note that cabins and lodges have cleaning closets with cleaning chemicals.  The best child-proofing and child-safety measure we have is parent supervision.

“First Right of Refusal” regarding reservations for future holiday weekends:  Families present and reserved at the 2012 holiday weekend had first right of refusal to reserve (with a minimum deposit) their present-pattern-use facilities for this holiday in 2013 until Monday 10:30am.  After Monday 10:30am, unreserved facilities became open for any other family to reserve.  Check the latest “RESERVED FACILITIES” chart on the office porch or at www.campbethelvirginia.org/availability.htm
